Position Summary: . We seek a highly skilled, proactive, and resourceful Executive Assistant to partner with our CEO in driving Event Network’s mission of creating transformative retail experiences. As the CEO’s trusted right hand, you’ll play a critical role in ensuring smooth day-to-day operations, executing strategic priorities, and (also working closely with the company’s chief cultural officer) fostering a culturally aligned, collaborative, and efficient work environment throughout the organization. The position is an exciting opportunity to work closely with a dynamic leader, grow within a fast-paced, innovative company, and make a meaningful impact. . Key Responsibilities: . Calendar and Travel Management: • Manage the CEO’s complex calendar, identify “highest and best use of time opportunities,” and coordinate competing priorities. • Organize personal and professional domestic and international travel bookings. • Negotiate and establish preferred travel service provider partnerships. . Event/Meeting Coordination, Preparation, and Support: • Prepare materials, agendas, and presentations for quarterly board meetings, executive offsites, strategy sessions, and educational workshops. • Take detailed meeting notes and track and report on follow-up/action items. • Research and identify internal and external meeting resources. • Coordinate scheduling for team members to optimize the experiences for all stakeholders. . Expense and Office Management: • Track and reconcile the CEO’s monthly expense reports. • Oversee light office management tasks, including Amazon orders, mail deliveries, and snack replenishment. Provide similar support for the San Diego Store Support Center as necessary. . Social Media and Communications: • Manage and expand the CEO’s social media profiles, tracking and driving/expanding engagement. • Initiate and expand recognition efforts inside and outside the company, drafting personal notes, distributing gifts, and identifying creative ways to broaden expressions of gratitude. . Administrative Support: • Develop email management over time. • Anticipate the CEO’s needs and proactively adjust to changing plans and priorities. . Qualifications: . • Minimum of three years as an Executive Assistant (or similar role) supporting C-level executives. • Exceptional organizational and multitasking abilities, with a proven ability to manage simultaneous priorities. • Proficiency in Microsoft Office Suite, calendar management tools, and LinkedIn (additional social media management experience is preferred). .
