TITLE: Receptionist
DIVISION: Business and Finance
REPORTS TO: Chief Financial Officer
EMPLOYMENT STATUS: Part-Time
FLSA STATUS: Non-Exempt
JOB SUMMARY: The Receptionist is responsible for answering and routing phone calls, greeting visitors, distributing information, and providing support services to the Business and Finance Division. This is a part-time position (20 hours per week), but hours may fluctuate based on business need.
DUTIES & RESPONSIBIITIES
- Staff the OSBA reception desk during business hours
- Greet and assist visitors
- Answer all calls received by the main switchboard, route calls and take messages
- Sort and distribute mail
- Inventory and purchase pop for the kitchen and board room
- Inventory and purchase office supplies as assigned
- maintain a resource book of OSBA informational materials to aid in answering telephone inquiries and the Building Directory and Emergency Procedures Guide
- Provide administrative support to division personnel and other staff members as assigned
- Perform monthly alarm testing
- Maintain driver’s license and automobile insurance records for all staff members
- Asist with managing the phone back-up list as needed
- Assist with invoice preparation and processing payments for the insurance agency
- Prepare correspondence and certificate of coverage notices for the OSBA Insurance Agency
- Co-manage the office supply inventory
QUALIFICATIONS
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Strong relational and interpersonal skills
- Proficient with Microsoft Office or similar software
- Valid driver’s license
PHYSICAL REQUIREMENTS
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 25 pounds
- Repetitive hand motion
- Remote work
ADDITIONAL DUTIES: For OSBA to remain efficient as a service based organization, team members are expected to exhibit a high level of flexibility regarding any duties that may be situationally assigned outside of this job description.
